This Privacy Policy (“Policy”) explains how Fivefold Systems LLC, operator of CentriOps (“CentriOps,” “Company,” “we,” “us,” or “our”), collects, uses, processes, stores, and shares Personal Data in connection with the CentriOps website, application, and related services.

CentriOps is a cloud-based operations platform designed to help organizations organize users, devices, tasks, checklists, support requests, contracts, subscriptions, and related operational information.

By accessing or using CentriOps, you acknowledge the practices described in this Privacy Policy. Use of CentriOps is also subject to our Terms of Service.

1. Definitions

For purposes of this Policy: (a) “Customer” means an organization or person that creates, maintains, or pays for a CentriOps account. (b) “User” means an individual authorized to access a Customer’s CentriOps account. (c) “Personal Data” means information that identifies, relates to, describes, or can reasonably be linked to an identifiable individual. (d) “Customer Data” means information submitted, entered, uploaded, generated, or maintained by a Customer or its Users within CentriOps. (e) “Services” means the CentriOps website, application, and related cloud-based operations tools. (f) “Controller” means an entity that determines why and how Personal Data is processed. (g) “Processor” means an entity that processes Personal Data on behalf of another entity.

2. Our Role in Processing Personal Data

Fivefold Systems LLC may act in different roles depending on the information being processed. We generally act as a Controller for information we collect directly to operate CentriOps, including account information, billing information, website activity, support communications, security records, and business communications. When a Customer enters Personal Data about its employees, contractors, users, customers, or other individuals into CentriOps, the Customer generally determines why that information is collected and used. In those situations, the Customer acts as the Controller or business responsible for the information, and Fivefold Systems LLC processes that information as necessary to provide the Services. Customers are responsible for ensuring that they have the legal right and authority to enter Personal Data into CentriOps.

3. Information We Collect

Account and Profile Information We may collect information such as:

• Name
• Email address
• Company name
• Account credentials
• User role
• Account and profile settings
• Company memberships

Authentication Information CentriOps supports email and password authentication as well as Google and Microsoft sign-in. Google and Microsoft authentication is supported through Firebase and the applicable identity provider. Information received through these services may include basic account information necessary to authenticate the User. Customer-Provided Operational Information Customers may enter information into CentriOps relating to:

• Users
• Employees or contractors
• Devices
• Device assignments
• Tasks
• Checklists
• Support requests
• Contracts
• Subscriptions
• Notes
• Activity records
• Other operational records

The type of information entered into CentriOps is determined by the Customer. Billing Information CentriOps uses Stripe for subscription billing and payment processing. Stripe processes payment information associated with paid subscriptions. We may receive billing, subscription, payment status, and transaction information necessary to manage a Customer’s CentriOps subscription. A credit card is not required to begin the CentriOps 30-day free trial. Support and Communications We may collect information submitted when a User or Customer:

• Contacts CentriOps support
• Sends us an email
• Submits a website form
• Reports a technical or security issue
• Communicates with us about billing or account matters

Usage and Technical Information When the website or application is used, certain technical information may be collected automatically, including:

• IP address
• Browser type
• Device information
• Login activity
• Pages or application areas accessed
• Date and time information
• Application events
• Audit and activity records
• Error and diagnostic information

This information may be used to operate, secure, troubleshoot, and improve CentriOps.

4. Cookies, Analytics, and Advertising Choices

We use required cookies and similar technologies to operate the Services, authenticate Users, protect accounts, and remember preferences. Optional technologies help us understand signups, trials, subscriptions, website visits, and advertising performance.

Signup and subscription analytics. We use Google Analytics to measure signup-page activity and completed signup, trial, and subscription events. This measurement uses pseudonymous identifiers, event times, limited campaign information, and, where applicable, subscription amounts and currency. We do not send names, email addresses, payment-card details, or Customer operational records as part of these analytics events. We do not load advertising tags in the signed-in application.

Your account choice. For eligible United States visitors, optional analytics may start enabled after a country-level check, unless a previous refusal or Global Privacy Control signal applies. For other or unknown locations, optional analytics remains off until an affirmative choice is available. Creating an account does not override an existing refusal. You can change your saved account choice at any time using the small “Allow signup and subscription analytics” checkbox at the bottom of Settings → Security. Unchecking it stops future optional account analytics and cancels unsent events associated with that choice. Turning it on again does not replay past activity.

Website measurement and advertising. The public website may use Google Analytics, Google Ads, Microsoft Advertising, LinkedIn, and OpenAI measurement technologies. LinkedIn conversion measurement may also be processed through a server container hosted by Stape. Depending on your choices, these services may receive browser and device information, IP addresses, cookie or advertising identifiers, page visits, and clicks on links to our signup page. A website signup-link click is not treated as a completed signup. Our LinkedIn click configuration does not automatically collect names or email addresses from website forms.

Website privacy choices. Use the “Privacy choices” link on the website to change analytics and advertising measurement separately. For eligible United States visitors, website measurement may start enabled unless a saved refusal or Global Privacy Control signal applies; for other or unknown locations it remains off until an affirmative choice. We honor Global Privacy Control as an opt out of optional measurement in that browser. Advertising choices are separate from the account analytics checkbox. Browser preferences may need to be set again if cookies are cleared or a different browser or device is used; your saved account choice remains associated with your account.

Changing a choice stops future collection covered by that choice; it does not automatically delete information already received by a provider. You can request access or deletion using the contact information below. Required security, authentication, billing, and service records continue to be processed as needed to operate CentriOps.

5. How We Use Personal Data

We may process Personal Data to:

• Create and maintain accounts
• Authenticate Users
• Provide the CentriOps Services
• Organize Customer Data
• Manage subscriptions and billing
• Provide customer support
• Communicate about accounts or Services
• Detect and troubleshoot technical problems
• Protect CentriOps and its Users
• Maintain activity and audit records
• Prevent misuse or unauthorized access
• Improve product functionality
• Understand website and application usage
• Meet legal and contractual requirements
• Enforce our Terms of Service
• Protect our legal rights and the rights of others

Where applicable, processing may be based on performance of a contract, legitimate business interests, legal obligations, or consent. Where processing depends on consent, consent may be withdrawn where permitted by applicable law.

6. Customer Data

Customers retain ownership of the Customer Data they submit to CentriOps. Fivefold Systems LLC processes Customer Data as necessary to provide, operate, secure, maintain, and support the Services. CentriOps does not gain ownership of a Customer’s operational records simply because those records are stored within the platform. Customers are responsible for determining:

• What information they enter into CentriOps
• Who within their organization may access that information
• Whether they have authority to collect and store that information
• Whether use of CentriOps is appropriate for their regulatory or contractual requirements

7. Sensitive and Regulated Information

CentriOps is not currently offered as a HIPAA-compliant platform. Customers should not use CentriOps to store protected health information or other regulated information that requires specific contractual or technical safeguards unless Fivefold Systems LLC has expressly agreed in writing that the Services are appropriate for that use. Organizations subject to specific regulatory, privacy, security, or contractual requirements should contact CentriOps before entering regulated information into the platform.

8. How We Share Personal Data

We may share Personal Data with service providers when reasonably necessary to operate and support CentriOps. These providers may include services used for:

• Cloud infrastructure
• Database hosting
• Application hosting
• Authentication
• Payment processing
• Email delivery
• Customer support
• Analytics
• Security
• Development and application operations

Major services used in operating CentriOps include Amazon Web Services, Vercel, Firebase, Google and Microsoft authentication services, GitHub, and Stripe. Optional analytics and advertising providers are described in Section 4. Service providers receive information only as reasonably necessary to perform services on our behalf and are subject to their own contractual and privacy obligations. We may also disclose information:

• When required by law, regulation, subpoena, court order, or other lawful process
• To investigate fraud, abuse, security incidents, or unlawful activity
• To protect the rights, safety, property, or security of CentriOps, our Customers, Users, or others
• In connection with a merger, acquisition, financing, reorganization, sale of assets, or similar business transaction

We do not share Personal Data with consumer credit bureaus as part of the normal operation of CentriOps.

9. Security of Personal Data

We use technical and organizational safeguards intended to protect information processed through CentriOps. Current safeguards include:

• HTTPS/TLS protection for connections between Users and CentriOps
• SSL/TLS required for connections to the production Amazon RDS database
• Encryption of production database storage at rest through Amazon RDS using AWS Key Management Service (AWS KMS)
• Multi-factor authentication available to CentriOps Users
• Multi-factor authentication used to protect core administrative services used by the CentriOps team
• Role-based Admin and User permissions
• Activity and audit records
• Protected secrets-management systems for application credentials and API keys
• Automated Amazon RDS database backups
• Seven-day automated database backup retention
• Point-in-time database recovery within the available backup window

No system can guarantee absolute security. Customers should also use reasonable security practices, protect account credentials, enable multi-factor authentication, and limit account access to authorized Users. Additional information about our security practices is available on our Trust & Security page. Security concerns may be reported directly to security@centriops.com.

10. Customer Backups

CentriOps provides Customers with options for creating their own backup copies of information. Cloud Backup: Customers may choose a cloud backup stored using Amazon S3 cloud storage. Amazon S3 provides server-side encryption at rest for stored objects. Local Backup: Customers may download a backup file for storage in an environment controlled by the Customer. Once a Customer downloads a local backup, the Customer is responsible for securing, storing, retaining, and disposing of that copy. Backup files may contain sensitive company or account information and should be protected accordingly.

11. Retention of Personal Data

We retain Personal Data for as long as reasonably necessary for purposes such as:

• Providing the Services
• Maintaining Customer accounts
• Meeting contractual obligations
• Maintaining required business records
• Resolving disputes
• Enforcing agreements
• Preventing fraud or abuse
• Meeting legal, tax, accounting, or regulatory obligations

Retention periods may vary based on the type of information and the reason it is processed. Information may also remain in system backups for a limited period as part of normal backup and recovery processes.

12. Personal Data Rights

Depending on where an individual lives, applicable privacy laws may provide rights relating to Personal Data. These rights may include the ability to request:

• Access to Personal Data
• Correction of inaccurate Personal Data
• Deletion of certain Personal Data
• A copy of certain Personal Data
• Information about how Personal Data is processed
• Restriction of certain processing
• Objection to certain processing
• Withdrawal of consent where processing is based on consent

Requests may be submitted to legal@centriops.com. We may need to verify the identity or authority of the person making a request before responding. Some requests may be limited or denied where permitted by law, including where information must be retained for legal, security, contractual, or legitimate business purposes.

13. Requests Relating to Customer Data

If Personal Data was entered into CentriOps by an employer, organization, or other Customer, that Customer may control the information. Individuals seeking access, correction, or deletion of information submitted by a Customer should generally contact that Customer first. Where appropriate, Fivefold Systems LLC may assist Customers in responding to valid privacy requests concerning Customer Data.

14. International Processing

CentriOps is operated from the United States. Information may be stored or processed in the United States or other locations where our service providers operate. If Personal Data is transferred from another country to the United States, applicable safeguards and legal requirements will be followed where required.

15. Children’s Privacy

CentriOps is a business operations platform and is not directed toward children. We do not knowingly provide the Services directly to children under 13. If we learn that Personal Data from a child has been collected in a manner that violates applicable law, we will take reasonable steps to address the information.

16. Third-Party Services

CentriOps may contain links to or interact with third-party websites or services. Their privacy practices are governed by their own terms and privacy policies. Fivefold Systems LLC is not responsible for the privacy practices of third-party websites or services that are outside our control.

17. Changes to This Privacy Policy

We may update this Privacy Policy from time to time to reflect:

• Product changes
• Changes in our business practices
• Security or technology changes
• Changes in service providers
• Legal or regulatory requirements

The updated version will be posted on the CentriOps website with a revised “Last Updated” date. If a change materially affects how Personal Data is handled, we may provide additional notice where appropriate or required by law.
